Gregory spent twelve years in public education as a classroom teacher and technology lead, a role in which he supported administrators, faculty, and students in implementing technology initiatives aimed at enhancing teaching and learning. Currently, Gregory serves as Senior Education Specialist specializing in Educational Technology at Geisinger College of Health Sciences, where he assists educators across the system and continuum of health professions to effectively integrate educational technology into various learning environments through a range of faculty development opportunities. Gregory also develops and maintains educational KPI scorecards for the Center of Faculty and Professional Development in alignment with system priorities.

Session description

Learn how limited resources in a restrictive IT environment prompted innovation in developing a new clinical simulation curriculum by leveraging Microsoft Forms and Power Automate. Find out how automated data sorting and digital assessments with immediate feedback is saving time and energy in a health professions education institution.

Purpose & objective

By the end of this session, participants will be able to...
1. Identify ways in which Power Automate can be leveraged to enhance the functionality of Microsoft Forms to streamline educational processes in order to save valuable time for educators.
2. Explain how Power Automate can make Microsoft Forms a more effective assessment tool through the use of differentiated automated emails that provide not only results but additional resources to review/remediate as needed.
3. List other tasks that can be completed using Microsoft Forms and Power Automate such as data sorting and populating templated Word documents.
4. Brainstorm processes (i.e., registration/attendance, evaluations/assessments, data collection, etc.) within their typical workflow that could benefit from automation.

Outline

The poster itself will include snapshots of the assessments (Microsoft Forms), Power Automate flows, associated Excel files that contain the data, examples of automated emails and populated documents, etc. that have all been created as part of our journey to innovate using these existing tools within our ecosystem. In particular, I will highlight some of the data collected from the nasogastric intubation course that we are now analyzing to evaluated the efficacy of the course and explain how we use Microsoft Forms and Power Automate to generate that data. Additionally, the poster will highlight a before and after of the process for disseminating session data based on learner evaluations in our Healthcare Communication Program that reveals the time and effort that is saved through automation of the process. I am hoping to get some brief testimonial statements from some of our stakeholders on the benefits they have experienced using these new processes. Unfortunately, I won't necessarily be able to provide quantitative data on time saved and it will be a bit more anecdotal.

I am also planning to use my laptop and provided monitor to allow participants to complete a demo Form that will have an associated Power Automate Flow that will do all of the functions that I am highlighting on the poster to allow them to experience it firsthand. I did something similar with 10 general trivia questions at the CPD-AOE Professional Development Series session where I presented this to my colleagues. It was really well received, piqued their interest, and served as a good primer for the demonstration and hands-on workshop that followed. I don't think time would allow me to go into the logistics of actually building a form and flow with audience members, but I think that's okay because the purpose of this session is focused more on the cognitive and affective domains rather than the psychomotor.

Supporting research

One resource that I can mention that touches on the need for and importance of automating tasks in the healthcare industry and health professions education specifically is a Wakefield white paper on the "INTERNET OF HEALTHCARE REPORT, FINDINGS SUMMARY Q4 2021." The paper provides a variety of statistics that reveal that "The healthcare community is overburdened with administrative work—and it’s getting worse." The executive summary states, "Processes are in desperate need of updating, not just to alleviate worker overload, but to deliver for patients: 91% of clinicians agree that improving administrative processes is the most urgent need to improve the quality of care provided to patients." Like healthcare workers, educators are often asked to do more with less and are facing similar levels of frustration with administrative tasks. While it won't eliminate all the redundancy and monotonous workload, using Microsoft Forms and Power Automate can help alleviate some of this frustration.
