Current contracted Solutions Partners may log in to the Exhibitor Services Portal for the most up-to-date information on services and ordering options throughout the conference cycle.

General

Who attends the conference?

The ISTE Conference & Expo attracts attendees from around the world, the majority of whom are leaders and key influencers for edtech purchases. Titles include administrators, technology coordinators, curriculum directors and library media specialists. For more detailed profiles, please visit our demographics.

For the ISTELive 21 virtual conference, we are targeting 12,000 participants (not including exhibiting Solutions Partners)


How many Solutions Partners are you expecting?

Are there opportunities for Solutions Partners to speak and give presentations?

Tiered Sponsors, Solutions Hub Sponsors and Premier package Solutions Partners have the opportunity to host one 30-minute Solutions Snapshot each day (Sunday through Wednesday). The Solutions Snapshots are live content sessions that are intended to provide concise insight into a topic or offer solutions to a specific problem. Solutions Snapshots will appear in the conference program alongside all other conference content and will take place during the daily 90 minutes of dedicated Solutions Hub time.

Solutions Hub Sponsors may present two 45-minute sessions — one on Saturday, June 26 and one to be scheduled between Sunday, June 27 and Wednesday, June 30. These sessions are part of the regular program, take place outside of dedicated Solutions Hub time and are a heightened opportunity to deliver your message to attendees as an integrated part of the conference program.


Are there discounts available for nonprofit organizations?

The Solutions Hub package pricing structure is the same for every company, regardless of tax status or affiliation. Package pricing may be found here.


Can I sell products at the conference?

ISTELive 21 is an educational event, and the Solutions Hub portion of the virtual platform is a vital element of this educational process. It is permissible to post product pricing and order information as part of resources that reside on organization profiles, but order taking or pricing information cannot be shared as part of demonstrations or in any content delivery provided by the Solutions Partner.


Are there options beyond the Solutions Partner package features?

Advertising options designed to heighten brand awareness, spread your message and drive engagement throughout the virtual event platform are available exclusively to Solutions Partners and can be ordered while completing your solutions engagement applications/contract or through the Exhibitor Services Portal for confirmed Solutions Partners. Logistics

Where can I find my login information to the Exhibitor Services Portal?

Portal login credentials are included in the virtual exhibit confirmation email sent to the primary logistics contact for your organization‘s Solutions Hub reservation. If you have trouble locating the information, please .


How can I get an invoice or a W-9 form?

Invoices and W-9 forms are readily available in the Exhibitor Services Portal under “Accounting services.”


How can I pay my account balance? Can I pay by credit card over the phone?

We cannot accept credit card payments over the phone. For your security, we never store credit card information. You can make a credit card payment at any time by logging in to the Exhibitor Services Portal and selecting “pay account balance.”

How can I update my company and contact information for exhibit logistics purposes?

Any changes to your company name, contacts and contact emails addresses must be submitted in an email to Exhibit Management. Building out your virtual profile will be self-managed using the backend tools available in the Exhibitor Services Portal. Samples for what you are building toward, along with specifications, are available on the profile templates page.


The virtual platform

What will the virtual platform look like and include?

View our platform orientation video to get acquainted with our custom virtual platform. The ISTELive 21 Solutions Hub experience will include rich profile pages that can be customized within a templated structure. Additional enhancements include a variety of interactive tools for communicating with attendees, from text chat and lead capture to videos, 1:1 meetings and Solutions Snapshot presentations depending upon your level of engagement. How are Solutions Partner profiles accessed by and promoted to attendees?

The Solutions Hub holds a prominent position in the virtual conference environment where all virtual booths will be accessible via dedicated tiles featuring the Solutions Partner logos. The page will feature sophisticated sort and filter options to help connect attendees with Solutions Partners relevant to their goals and interests. The conference will promote the Solutions Hub to attendees through a range of communications, programming and planning tools central to participation in the conference. The overall structure of the virtual environment will encourage engagement in the Solutions Hub experience as well as through features such as gamification, “what‘s happening now” feeds and dedicated Solutions Hub only time in the schedule.

ISTE is working on a multi-phase promotional plan to highlight the rebranding of the Solutions Hub and focus on solutions. In addition, we will be providing Solutions Partners with a toolkit to help with promotions of your own individual participation and sessions.


What are the platform and profile chat features?

Each Solutions Partner profile page features a company chat button that attendees can click to initiate private chat with any available representative or leave a message for your company. Solutions Partners will be able to customize the button text and set varying messages to indicate when staff are present and available to chat or for when no one is available.

Each profile page will also feature a publicly viewable Solutions Partner Message Board where any attendee or staff person can post and participate in a shared discussion within the profile page. Attendees may also initiate a 1:1 chat with a specific Solutions Partner Staff member from the staff section of the profile page.

Solutions Partner staff are full conference participants and therefore have full use of the direct chat and networking features in the event platform. Note that staff are subject to the rules and regulations in the Code of Conduct and that group messaging to promote Solutions Hub participation is not permitted.


How do Solutions Snapshots work?

How do “Do your own thing” out-of-platform activities work?

Tiered Sponsors, Solutions Hub Sponsors and Premier package Solutions Partners can also feature a schedule of independently hosted activities and content taking place outside of dedicated Solutions Hub time. Out-of-platform activities can be content, live demos, or fun and social events. These are activities that you host on your own and have flexibility to choose the method of delivery. “Do your own thing” out-of-platform activities are also available as an à la carte option at the Partner package level.

All Solutions Snapshots and “do your own thing” activities are searchable by attendees as part of the Solutions Hub and conference program.


How do we schedule meetings?

All Solutions Hub packages include a meeting schedule tool to facilitate meeting requests upon attendee initiation. Solutions Partners will be able to set a schedule of when staff are available for meetings. You can choose to conduct meetings using the meeting tool included in the event platform, or use your own meeting platform and just utilize the scheduling aspect. Meetings can be held at any time but support for the included tool is only available during official conference hours. All meetings are attendee initiated and they can select from the available times set by the Solutions Partner or submit a request to be contacted. Solutions Partners are encouraged to prompt clients to schedule meetings with them. Meeting requests will be sent to the Solutions Partner and added to the attendee‘s schedule.


Building virtual profiles

Can our page be completely custom/what can be customized?

How do I manage and build my virtual profile?

Solutions Partners can access backend tools for managing virtual profiles via the Exhibitor Services Portal. Samples for what you are building toward, along with specifications, are available on the profile templates page. The deadline for initial profile build completion is May 24, 2021. After June 7, 2021, incomplete booths will not appear in the Solutions Hub.


Event access

How is the virtual booth staffed?

All Solutions Partner staff will be registered through the registration tool in the Exhibitor Services Portal. Each Solutions Partner receives an allotment of complimentary staff registrations (review the package comparison chart for details). Additional staff may be registered for $75 each, billed post-conference. Staff registrations include full conference access, excluding games and prizes, and are non-transferable.

Event platform access will be available about a week prior to the conference, at which time all registered staff will receive an email with instructions on how to access the platform. Only individuals registered as staff for your reservation will be able to access the company dashboard from which your profile is managed in the platform. Detailed instructions will be available in the Exhibitor Services Portal in the weeks leading up to the conference.

Solution Partners should plan to staff their profile page during the 90 minutes of dedicated Solutions Hub time each day (10:30 am - noon PDT) Sunday - Wednesday, and are strongly encouraged to be staffed during all official Solutions Hub hours. There will be a function to indicate whether the profile is currently being staffed so that visiting attendees understand if there are reps available to talk to live, as well as a function to indicate who is currently staffing the profile.


Can Solutions Partners attend sessions or other conference events?

Yes! Staff registrations include full conference access, less games and prizes, and are non-transferable. In addition, a certain number of complimentary attendee conference registrations for gifting come with each package, review the package comparison chart for details.

Complimentary attendee registrations are available in the Exhibitor Services Portal.


Is there a discounted attendee registration fee for exhibitors after the allotted complimentary registrations are exhausted?

Each Solutions Partner receives an allotment of complimentary staff registrations, review the package comparison chart for details. Additional staff may be registered for $75 each. Staff registrations include full conference access, less games and prizes, and are non-transferable.


Lead capture and analytics

What types of interactions are included in lead capture?

We understand the significant importance of lead capture for our industry partners and have been mindful throughout the custom event platform design, including incentivization during the attendee onboarding process.

Leads will be captured for attendees who interact with your virtual profile and/or your other conference offerings (if applicable) and have not opted out of providing their contact information. All leads will be captured in real-time and will include full participant contact details. Once leads are captured, you will have the opportunity to add qualifying notes to each lead via your company dashboard. Current Solutions Partners may review details in the leads and analytics page in the Exhibitor Services Portal.


How does the customized lead capture feature work?

Attendees can select the “Share my info” button in the profile page to share their contact information with a Solutions Partner. Solutions Partners can customize the text in the call-to-action button, include a company privacy policy and create up to seven custom qualifiers to be added to the lead submission.

The customized lead capture questions only apply to leads obtained via the “Share my info” lead capture button in the profile page. The qualifiers are required when leads are submitted through that avenue but the qualifier questions do not apply to leads obtained via other triggers.


Will Solutions Partners receive analytics for attendee activity in our virtual profile?

A set of aggregated analytics will be shared with exhibitors but will not contain the same personalized attendee information as leads. The analytics data will be loaded within 12 hours and will focus on the pieces that critically allow you to evaluate the effectiveness of your various company resources.


Is an attendee list included in my Solutions Hub participation?

An attendee list is not included in Solutions Hub packages, however Solutions Partners do have access to purchase attendee postal mail lists (phone/email not included) in the Exhibitor Services Portal.
